The position involves a significant amount of work with financial data and confidential client information and requires a high level of accuracy and attention to detail.

Responsibilities and duties 

  1. Prepare for and follow up on client appointments which may involve organizing appropriate files and necessary paperwork; creating and updating consolidated statements; and reviewing, processing and following up with paperwork as needed after appointments
  2. Utilize various software programs as needed to assist advisors in client appointment preparation and research (CRM, E-money, AMP, Albridge, LaserApp, OnBase, OnBoard, Morningstar, insurance illustrations, etc.)
  3. Manage client database to offer routine review appointments by phone, mail or email, with consideration to advisor recommendation, client classification system and client preference
  4. Schedule appointments and maintain advisors’ calendars as requested
  5. Write and prepare correspondence, including emails and database notes, as needed or as directed by advisors
  6. Gather, prepare and complete client paperwork as needed
  7. Field incoming calls and walk-in appointments when advisors are not available or as needed
  8. Initiate and carefully document contact with clients as service issues arise
  9. Review and sort incoming mail for advisor(s) daily
  10. Track various statistics, account balances, application status and holdings as directed by advisors
  11. Prepare various weekly, monthly and quarterly reports
  12. Maintain client account (securities) and policy (insurance) files


Skills and Abilities:

  1. Bachelor’s degree preferred
  2. Three years’ experience in an administrative/support role
  3. Proficiency with Windows-based software and Microsoft Office Suite
  4. Consistently accurate with high attention to detail and organization
  5. Self-motivated with willingness to take initiative; dependability
  6. Demonstrated customer service focus
  7. Exceptional time management
  8. Excellent verbal and written communication skills including a pleasant phone presence
  9. Ability to build positive relationships with a wide range of personalities

License(s): Must be able to obtain a Pennsylvania life and health insurance license, if required

Schedule: This is a full-time position.
